STO Group Quoting Agent (Gauteng, Centurion)
ANEW Hotels & Resorts are looking for an STO Group Quotating Agent to handling all STO group booking inquiries, preparing accurate quotations, capturing the bookings in Opera Cloud correctly, follow up on rooming lists 31 days prior to the group arrival date and ensuring a seamless booking experience for Tour Operators. This role requires strong attention to detail, excellent communication skills, and the ability to manage multiple group requests efficiently. The agent works closely with sales, revenue management, and onsite reservations teams to maximize group bookings while maintaining competitive pricing and availability.
The successful candidate will be based in Gauteng, Centurion.
Key Responsibilities:
- Respond to STO group booking requests via phone, email, and online platforms in a timely and professional manner.
- Gather client requirements and provide customized quotations based on availability, pricing, and company policies.
- Quote correct STO rates based on revenue management guidelines and pricing strategies.
- Ensure accuracy in all quotes, contracts, and pricing details before presenting them to clients.
- Follow up on pending quotations to maximize conversions.
- Engage with potential clients to negotiate group rates, terms, and conditions while maintaining profitability.
- Offer alternative options and promotional packages to enhance conversion rates.
- Process and confirm group reservations, ensuring all necessary details are documented.
- Work closely with the STO Sales Executive, CRO Manager, Revenue Management, and operations teams to align group booking strategies.
- Communicate group booking details to the front office, reservations, and event planning teams for seamless execution.
- Ensure deposits and payment schedules are managed according to company policies.
- Assist in drafting and processing group contracts and agreements.
- Handle modifications, cancellations, and refunds as per company guidelines.
- Accurately enter group details into the reservation system and update guest profiles as needed.
- Ensure all bookings are logged, tracked, and reported properly for future reference.
- Provide excellent service to clients, addressing inquiries, special requests, and concerns promptly.
- Build and maintain relationships with travel agents, corporate clients, and event organizers.
- Assist with pre-arrival arrangements to ensure a smooth experience for group guests.
- Recommend pricing adjustments and promotions to optimize group sales performance.
- Maintain an organized record of all group inquiries, quotations, and confirmed bookings.
- Ensure compliance with company policies and procedures regarding group reservations.
- Participate in team meetings, training, and strategy discussions to improve group quoting processes

Qualifications and Requirements:
- Certificate / Diploma in Hospitality Management advantageous.
- Previous experience in reservations, customer service, or hospitality preferred.
- Strong communication skills, both verbal and written.
- Proficiency in using Opera Cloud reservation systems advantageous
- Ability to multitask, handle high call volumes, and work in a fast-paced environment.
- Excellent problem-solving skills and attention to detail.
- Strong sales and negotiation skills to upsell services effectively.
Desirable:
- Previous experience in guest services or hospitality.
- Sales experience and the ability to drive revenue
